Fair Processing Notice – Payroll

Our Privacy Policy sets out in general how we use and protect your data. By subscribing or purchasing any of our Payroll services, the following will also apply:


Service, project or membership name:


Core activity of service:

Processing confidential employer and employee financial information, reporting to HMRC and pension providers, and returning output to client. 

Data required, includes: Employer and employee name, address, email address, phone number, HMRC and pension identifiers, financial earnings and tax data, statutory pay, union subscriptions, loans, court orders, HMRC declarations.   

Service requires client’s authorisation of WECIL as an agent for HMRC and delegated access to their pension scheme.   

Essential communications:

Employer and employee HMRC forms, employee starter forms, timesheets, statutory instructions, payroll reports, payslips, third-party communications by post, service invoicing and debt recovery, service emails and phone calls.


Employees are able to access their personal data without notification or permission of their employer.

Third-party data sharing:

HMRC, The Pensions Regulator, employer’s pension provider, payroll software provider, Direct Payment funding Authority (if applicable).


Aggregate (non-identifiable) reporting for internal and external performance monitoring.


Data under this service will be retained for up to seven years from present date – or seven years from termination of service – so as to provide support to past clients with record keeping and issue resolution.


Subject deletion requests or transfers can be requested at any time, but data under this service will be retained at minimum for the present tax year – so as to resolve current tax year queries.
